How do I run payroll for a worker I placed with a client?
US federal rules as of 31 Oct 2026.
Payroll in the recruiter portal is the same payroll screens employers use, organized by client. Every pay run and every placed worker belongs to one client, so their workers, pay dates and funding stay separate. Starting a run pays nothing: LiveRec reviews every pay run before money moves.
How do I get started?
- Open Payroll in the left-hand menu.
- Use the Client filter at the top to choose All clients or one client.
- For a new worker or pay run the page asks "Which client is this worker for?" or "Which client is this pay run for?". Pick the client from the list (search appears when you have more than six). With no clients, add one first.
How do I add a worker?
Choose Add worker. The page shows the client's accepted hires. Pick who to add, say where they work, enter pay, then review and confirm. A contract is created. You sign it, then the worker signs from their LiveRec account. The worker's record tracks Invited, Details submitted, Right to work checked, then Ready for payroll.
How do I start a pay run?
Open Pay runs and choose New pay run. Choose a regular or off-cycle run, who to pay, the period and pay date, then Calculate pay run. Check each worker's amounts, then Submit for approval. Until you submit, you can discard the run.
The payroll tabs are Overview, Workers, Pay runs, Registered countries, Invoices & documents and Settings. Settings holds approvers, the two-approval rule and how payroll is funded.
Good to know
- Where your client has no entity in a worker's country, the worker can be employed through our local payroll partner as employer of record.
- Misclassifying a worker can carry penalties. Check local rules.
