Run payroll, add extra pay and fund it

LiveRec EditorialUpdated

US federal rules as of 30 Oct 2026.

Open Payroll, then Pay runs, then New pay run. Choose a regular or off-cycle run, who to pay, and the period and pay date, then choose Calculate pay run. Check the amounts, add any extra pay, and choose Submit for approval. Nothing is paid until LiveRec approves the run.

Steps

  1. Open Payroll, then the Pay runs tab, then New pay run. New pay run only appears once your company has a payroll plan.
  2. Pick the kind of run: regular (one pay period) or off-cycle (outside the schedule, for a bonus, commission, correction or final pay, with a reason).
  3. Choose who to pay (a pay group), then set the Period start, Period end and Pay date. Choose Calculate pay run.
  4. On the run, check each worker's Gross, Extra pay, Deductions, Reimbursements and employer taxes. Until you submit the run you can type amounts in Extra pay, Deductions and Reimbursements for each worker.
  5. Choose Submit for approval. If the total is very different from the last run you are asked to confirm.
  6. Fund the run by the "Fund by" date shown on it.

Approvals and funding

  • Under Payroll, then Settings, the Approvals & permissions tab holds your approvers and the "Approval rule: two approvals" switch. When it is on, one approver gives the first approval and a different approver submits the run.
  • LiveRec sets how you fund payroll: Bank debit, or Invoice and bank transfer. The Funding tab shows which applies, lets you add a bank account, and has Ask to change it.
  • If a bank debit fails, LiveRec retries once the next business day. LiveRec may cover the run up to your approved limit, and you then have 3 business days to send it by bank transfer. New pay runs are paused until it is paid.

Good to know

  • A worker's own page also lets you add a bonus, expense or deduction as a pay adjustment, once the worker's contract is active.
  • LiveRec sets approval limits per run and per worker. Use Request a higher limit on the Limits tab if you need more.
  • You can discard a run before you submit it, and nothing has been paid.
