Reference request email: how to ask someone to be a reference
Send your reference request email before you list the person, not after. Choose someone who has seen your work, ask them if they can give a positive reference, and send the job details and a short summary of your work together. Most people say yes when asked early and politely.
At a glance
- Choose managers, clients or colleagues who know your work.
- Ask first, by email or phone. Never list someone without asking.
- Send your resume and the job description.
- Give them a deadline and a contact for the employer.
- Thank them and share the outcome.
Who to choose
| Reference | Good when |
|---|---|
| Former manager | Best for most roles |
| Senior colleague | Manager has left |
| Client or customer | Client-facing roles |
| Teacher or mentor | Students, early career |
Template 1: asking
Subject: Could you be a reference for me?
Dear [Name],
I hope you are well. I am applying for a [Job Title] role at [Company] and wondered whether you would be willing to act as a reference. We worked together at [Employer] on [project], and I think you could speak to [skill].
I have attached my resume and the job description. If you are able to, the employer may contact you at [phone or email] in the next few weeks. I understand if now is not a good time.
Thank you, [Your Name]
Template 2: after they agree
Dear [Name],
Thank you for agreeing. The recruiter will probably call or email you from [Company]. The role focuses on [requirements], and I think the most helpful examples would be [project] and [skill]. Please tell me if you would rather be contacted at a different time.
Thank you again, [Your Name]
After the reference
Tell them how it went. If you accepted an offer, thank them again.
Frequently asked questions
How many references do I need? Often two or three. The employer will say.
Should I put them on my resume? Usually "available on request" is enough. Provide details when asked.
What if my previous employer will only confirm dates? Many do, as a policy. Have another person who can speak to your work.
