Background check turnaround time: how long does it take?
There is no single turnaround time for an employer background check. It depends on the searches ordered, the courts and employers that must respond, and whether the candidate's information is complete. Some records return quickly and others need a court clerk or a former employer. Ask your screening provider for its range per search.
US federal rules as of 31 October 2026.
At a glance
- The slowest search sets the pace for the whole package.
- Missing or inconsistent candidate details are the most avoidable delay.
- Do not make a final decision on an incomplete report, and do not skip FCRA steps to save time.
- Build the waiting period into the offer letter as a condition.
What slows a check down?
| Cause | Why | What you can do |
|---|---|---|
| County courts without online records | A clerk must search by hand | Order those searches early |
| Many addresses in the past years | More jurisdictions to search | Ask for complete address history up front |
| Employment or education verification | Depends on a third party replying | Ask the candidate to share contacts and documents |
| Name matches and identity mismatches | Need manual review | Collect full legal name, other names used and date of birth |
| International history | Slower sources | Start early and set expectations |
| Missing consent form | Cannot start without it | Send disclosure and authorization with the offer |
How do you plan the timeline?
- Send the notice and permission form with the conditional offer, or sooner where the law allows. See ban-the-box laws.
- Order the slow searches first.
- Tell the candidate what you ordered, and ask them to flag anything that may need explanation.
- Set the start date as "subject to completion of the check", not a fixed date, if you must wait.
- If a result may lead to rejection, follow the pre-adverse action steps. See FCRA pre-adverse action. The pre-adverse notice gives the person a chance to review the report and explain, so it adds time you should plan for.
What if a candidate disputes a result?
The FTC says the person has a right to dispute the accuracy or completeness of the report with the company that sold it. Wait for the dispute to be resolved before you rely on the disputed item.
Can the candidate start work before the check finishes?
That is your policy decision. If the role has access to money, vulnerable people or sensitive data, hold the start. Any policy should apply to everyone in the same role, because the EEOC says to apply the same standards to all.
FAQ
Can I speed it up by skipping the notice? No. The FCRA requires a stand-alone written notice and written permission before the report.
Can the candidate see the report? Yes, if you plan adverse action you must give a copy of the report before you decide.
