How do I upload a client agreement and get it confirmed?
A client agreement is the signed document between your agency and a client company. Open the client, find the Signed agreement card, upload the PDF and enter the client contact's email. LiveRec emails them a confirmation link; no account is needed. Signed agreements are kept for 7 years from signing, then deleted automatically.
Steps
- Clients, open the client, find Signed agreement.
- Choose the PDF (PDF only; the page shows the size limit) and type the Client contact email.
- Choose Upload and ask the client. You see "Sent. We have asked [email] to confirm it."
- The client opens the emailed link and confirms. The link expires; the card shows when. Nobody at your agency can confirm for the client.
- After the client confirms, the card says LiveRec reviews it next.
If it is not approved
- Rejected: "LiveRec could not approve this agreement. Fix it and upload it again." A reason is shown when one was given. Re-upload a corrected PDF.
- More information needed: the card shows what LiveRec asked for. Read it before re-uploading, because a new upload replaces the note.
- Link expired or wrong email: use Replace and ask again.
Retention and related documents
- Signed agreements, offers and contracts are kept 7 years from signing and then deleted automatically.
- Documents needed, offer e-signature and the contracts vault are available in the recruiter portal. To send an offer, open the candidate, choose the Job offer tab and Send offer. The candidate signs, then you choose Countersign now; the page shows Signed by both parties when done, and you can Remind candidate or Send a new signing link.
- The client link expires after 72 hours by default (a program setting); the page shows the exact hours or date.
